Public Records Request

Please consider using this electronic form to help facilitate your Public Records request. This form requires that you provide some basic information so that our office can complete the request and contact you if we have questions and when the request is completed. You are, however, not required to use this form, request public records in writing, provide your name or explain the reason for the request.

Public Records Process

The process for completing a public records request involves: 1) a review to determine what public records, if any, exist which are responsive to the request; 2) a determination of whether any responsive records may be exempt from disclosure; and 3) analysis to determine the method of collection/retrieval of the requested records.

Ordinarily, our office does not exceed twenty (20) business days to complete a public records request.

In order to help us provide you the best response to your request, please carefully consider the information that will be useful to you. Very broad requests can take longer to fulfill, however, the Polk County Property Appraiser's Office is committed to providing records as quickly and efficiently as possible.

Public Records Notice

The Public Records Act does not contain a specific time limit (such as 24 hours or 30 days) for compliance with public records requests. The standard is the limited reasonable time allowed to retrieve the record(s) and remove those records that are exempt. If the nature or volume of public records requested to be inspected, examined, or copied is such as to require extensive use of information technology resources, or extensive clerical or supervisory assistance by Property Appraiser personnel, charges may be assessed, which are to be reasonable and based on the cost incurred for the extensive use of such resources of labor in furnishing or copying the information requested. Please review the Downloads page, or the Advanced Query page of our website before submitting a request.  All data, including public records requests, will be provided "as-is" and in accordance with F.S 119.01.
